Plan an order for a trade show, conference or launch event

Check the date first, then choose bulk to the venue or one parcel per attendee. Rush production, venue delivery windows with a booth number, mixed sizes in one grid, and kit assembly are all built in.

Event orders come in two shapes. Bulk to one address (the venue, the show's advance warehouse, or your office) by a hard date, usually apparel in a size breakdown plus kits. Or kits to attendees at home after a virtual or hybrid event, where each person gets their own parcel and can enter their own address through a link.

Either way, start with the date. The deadline calculator on the events page tells you whether standard production and shipping make it, whether the order needs rush, or whether the date is out of reach, before you pick a single product.

    Enter the event date and the ZIP code the order ships to. The answer is one of four: Comfortable (standard production and shipping land two or more business days early), Tight (on time, with a day or less to spare), Needs rush (only rush production plus express shipping makes it), or Not possible by then. Business days exclude weekends, in Pacific time.

    Arrival is planned for the business day before the event by default. Convention centers refuse deliveries before their move-in date, so use the delivery window fields when you are shipping to a venue.

    Pick a shape: bulk to one address, or one parcel per attendee

    For bulk to the venue, create a single order with the venue address; the wizard has a venue section for the show name, booth number, attention line and delivery window. For kits to attendees at home, start a team order: paste names and emails and each person gets a link to enter their own address and pick a size.

    Team orders ship to US addresses only for now. A venue order can go anywhere the catalog ships, but the deadline promise is for US destinations.

    Create Order > product > Order several sizes

    Enter mixed sizes in one grid

    On an apparel product, pick the color (and any other option), then click Order several sizes. Type a quantity next to each size and add them all at once; each size becomes its own line in the cart, priced exactly as if you had added the lines one by one.

    The grid caps at 1,000 units per size per line. A size that is not available in the chosen color is skipped and listed under the grid.

    Add kit assembly when every attendee gets the same set

    Turn on Kit assembly and tell us how many kits. Every kit is assembled (tee, mug, notebook, tote, card) before it is packed, and the packing slip says so. The fee is per kit and is shown before you pay.

    For a team order, one kit per recipient is assumed (times their quantity).

    Event options > Rush production

    Choose rush production when the calculator says Needs rush

    Rush moves the order to the front of the floor: it ships within one business day of approval (in by noon Pacific counts as the same day) and goes out on the express carrier tier. The fee is a percentage of the product subtotal with a minimum per order, shown before you pay, and a hard ship-by date is written on the order so our team sees it.

    Rush orders are flagged to our operations team after 24 business hours without production activity instead of 48, and again if the ship-by date passes.

    Give the venue what it needs on the label

    Enter the show or event name, the booth number, the person the box should be marked for, and the delivery window the venue accepts. The show name prints as the company line and the booth and attention line print on the second address line, so the box is right even before the dock reads the paperwork.

    Production is held so the parcel cannot arrive before the window opens, and the ship-by date is set so it cannot arrive after it closes. When the window is shorter than the shipping variance we never plan to be late and tell you the parcel may land a little early; ask the venue about its advance warehouse.

    Rush and kit assembly appear as their own lines on the checkout summary and on your receipt. The order page shows the event date, the ship-by date, the venue details and the expected arrival window. For a team order the manifest export includes an on-time column against the event date.

Good to know

  • Run the calculator before you approve artwork. Two days of proof revisions can turn Comfortable into Needs rush.
  • For a booth delivery, address the box to the exhibitor services contact and put the show and booth in the venue fields, not in the recipient name.
  • Order a few extra units of the middle sizes. Size mixes at events run larger in the middle than sign-up forms suggest.
  • Request a sample kit from the events page with the event date filled in; we reply within one business day and plan production backwards from your date.

Common questions

What does rush actually change?

Production ships within one business day of approval instead of one to three, the parcel goes out on the express carrier tier, the order carries a hard ship-by date our floor and our monitoring treat as a deadline, and it is escalated to a person after 24 business hours without progress.

Can you deliver to a convention center?

Yes. Give us the show name, booth number, attention line and the window the venue accepts. We hold production so the parcel cannot arrive early and set the ship-by date so it cannot arrive late. For very short windows, shipping to the show's advance warehouse is safer; ask the venue for its dates.

How is the kit assembly fee calculated?

Per kit. Tell us how many kits to assemble (for a team order it is one per recipient, times their quantity). The amount is shown on the review step and again at checkout.

Is the arrival estimate a guarantee?

It is a conservative plan: our production window plus a fixed transit estimate per carrier zone, rounded up. Carrier holidays and weather are not modeled. When it says Tight, treat it as Needs rush if the date cannot move.
