Set up a team account with approvals

Create a Printonic for Teams account, invite the colleague who approves spending, learn what owners, approvers and requesters can do, and see how a team order goes from request to approval to production.

Printonic for Teams is the same Printonic account, arranged for ordering as a company: a quieter dashboard with your team's orders, a Team page for the people who can order and approve, and one balance that finance controls. The person who orders is usually not the person who pays, so every team has an approver role.

One team per account. The account that creates the team is the owner; everything the team orders is billed to that account.

    Create your team

    Enter your company name, your name, your work email and a password (or use Sign up with Google). Add your logo now or later. Confirm your email if we send you a link. You land on the team dashboard: Home, Team orders, Collections, Team, Billing and Settings.

    Already have a Printonic account? Open the same page while signed in and choose Turn this account into a team account. Your existing orders and balance stay exactly where they are.

    Invite an approver

    Enter your colleague's work email, choose Approver, and click Send invite. They receive a link that works once and expires in 7 days. When they open it they either sign in with that email or create an account, and they land on the same team dashboard.

    The invite must be accepted with the email address it was sent to. If it was not, ask them to sign in with the right email and open the link again. You can revoke an invite from the Pending invites list.

    Add requesters

    Invite the people who put team orders together (office managers, sales, HR) as Requesters. They can build a team order and send it for approval but cannot pay, invite, or change the team.

    Owners and approvers can invite. Only the owner can change someone's role or remove them from the team.

    Know what each role can do

    Owner: runs the team, pays, approves, invites, removes people, and manages billing. Approver: approves and pays for team orders from the team balance, invites colleagues, and can start orders too. Requester: builds team orders and sends them for approval.

    The team balance belongs to the owner's account. Only the owner can add funds under Billing; approvers spend it when they approve.

    Send a team order for approval

    A requester builds the order as usual: pick the products, upload the recipient list, check the quote. Instead of paying, they send it for approval. The approvers get a notification in the dashboard and an email with the total and the number of recipients. Nothing is charged and nothing ships yet.

    A team order waits for approval for 7 days. If nobody decides in time it expires, and the requester can send it again.

    Approve or decline

    An owner or approver sees the request on Home (and in the bell). Approve and pay charges the team balance once and sends the order to production, exactly as if they had paid at checkout. Decline sends it back with an optional note. The requester is notified either way, in the dashboard and by email.

    If the team balance does not cover the order, approving pauses with the amount that is missing. The owner adds funds under Billing, then approves again; the request stays waiting in the meantime.

    Follow the order

    Every team order shows where it is: waiting for approval, not yet paid, in production, or shipped. Open a team order to see each recipient's shipment and tracking once it ships.

Good to know

  • Give finance the Approver role and keep the owner login for whoever manages the account itself.
  • Use one team order per occasion (a holiday send, a client kit) so approvals and tracking stay readable.
  • Requesters can prepare orders well ahead of time; approving is what starts production, so timing stays in the approver's hands.

Common questions

Can I be in more than one team?

Not yet. Each account belongs to one team. Use a separate account for a second company.

Who pays for a team order?

The team balance, which lives on the owner's account. Approving a request charges that balance. Card payment at checkout stays available to the owner.

What happens if an approver declines?

Nothing is charged. The requester gets the note the approver left and can adjust the order and send it again.

What if the invite link expired?

Invites work for 7 days. Send a new one from the Team page; the old link stops working the moment a new invite is sent to the same email.

I converted my existing account. Where did everything go?

Nothing was removed. The team dashboard shows a smaller set of pages. The owner can switch back to the full dashboard from Team settings at any time; the team stays intact.
